We are looking for best practices in the process of pseudonymisation and the handling of key files, specifically for small scale research. Our goal is to share these best practices within the LCRDM pool of experts and anyone else interested in this subject. If no best practices exist, we are going to specify recommendations that comply with applicable laws and research guidelines.

This questionnaire is best to be filled out by someone in a data support role or someone else who has in depth knowledge of their organisation’s pseudonymisation processes. If you have multiple ways to deal with pseudonimisation in your organisation, please fill out this questionnaire separately for each type.

Pseudonymisation is the process of replacing directly identifiable personal information by some sort of random number/string. In some organisations this is better known as ‘coding’ the dataset. To be able to reidentify the person involved a key file is needed where the random number/string is linked to, for instance, the name or social security number of the person.

This questionnaire will from now on speak of ‘coding’ or ‘coded’.

What will happen with the data?
Responses to the questionnaire will be studied by the LCRDM task group participants, and a final report will be drafted. The responses will feed into drafting the report, but the report itself will not contain any personally identifiable information. The report will zoom in on a general level on the current working method in organisations partaking in small-scale research with regard to storage & stewardship of key files. The inventory will become available on the LCRDM website under CC BY license.
